From request to remittance: purchase-to-pay for schools and trusts
Webinar details
Purchase-to-pay is the full process of buying something. A request is raised, checked against the budget and approved, an order goes to the supplier, the goods or service arrive, the invoice is matched against the order and the delivery, and the supplier is paid. When every step, including the budget, lives in one system, finance teams gain control, visibility and a clean audit trail. When the steps are scattered, delays, errors and risk creep in.
In iplicit, purchase-to-pay and budgets have been part of the same system from day one. Newer features such as PunchOut and iplicitPay build on that foundation: they enhance a process that has always been there, rather than filling gaps left at the start.
This 30-minute session is a live demonstration, and we’re saying so upfront. Glen and James will spend most of it in iplicit, showing finance leaders in multi-academy trusts, single academy trusts, independent schools and school groups how simple a joined-up purchase-to-pay process can be for everyone involved, from the member of staff placing an order to the finance team making the payment.
What you’ll see:
- How staff raise requisitions and orders, either directly in iplicit or through PunchOut from supplier catalogues, with spend coded to the right school, department and cost centre from the start
- How spend is checked against up-to-date budgets held in iplicit before an order is approved
- How approval routes can mirror your scheme of delegation, by value, school or department, with cover for when approvers are away
- How goods received and commitments give you a live view of what has been spent and what is still to come
- How supplier invoices are matched to orders and deliveries, either by converting the goods received note or through AP automation, including a single invoice split across several schools
- How bulk payment runs and remittances come together in one place, with payments sent to the bank by file or, as an optional extra, directly through iplicitPay, and how any payment can be traced back to the original request in a few clicks
- What to look for in a finance system if you want purchase-to-pay built in, not bolted on
